St. John's Pastoral Administrative Committee
The primary purpose of our Pastoral Administrative Committee (PAC) is planning, so that our parish community can carry out the mission of the church. The hardworking committee is made up of our pastor and representative parish members. The meetings, which are held every other month, are open to all.

Meeting Minutes of April 23rd, 2010
The meeting was held at 5:30pm at the church and was called to order by our new Chair, Glen Thurow.

Minutes: The minutes of the February 23rd meeting were accepted as presented.
Reports:
1. Religious Education & Youth Outreach: Rick had no report.
2. Budget & Finance: Ken said from July ’09 to April ’10 our church was $460 in the black.
3. Altar Society/Women’s Guild: Carol said the funds that are used to purchase coffee and other necessities for the church are getting low and we need more contributions to the coffee jar on Sundays during the social hour. Rolando said we can start cleaning the church vestments right away.
4. Publicity: Viv was not present but Sherry said our publicity was going well and both local newspapers were very good about publishing our press releases.
5. Liturgy: Rolando gave a list of the coming liturgies.
6. Maintenance: Marvin said he has recruited a new maintenance man for summer – Phil Colozzi.
7. Community Outreach: Sherry gave a report on the various Salvation Army vouchers we can write for the needy in town, but said we should only give out their generous food vouchers to those who are referred to us by other organizations or agencies in town that deal with families in emergency situations. She thanked Rosie for volunteering to take turns answering the church cell phone along with Helene and herself. Father explained to the group how he had decided to provide a needy man with lodging in Bandon, even though he had previously recommended that the church not do so. He said he did what he felt was right, under the situation.
Pastor’s Report:
Father explained that his stomach surgery has been postponed a week, until May 5th, but we will still follow the mass schedule this week, as was announced in the papers. He will be giving his last masses at our parish on the weekend of June 19th – 20th, before he leaves to take up his new appointment as pastor to a church in Albany. Carol said St. John’s wanted to have a farewell party for him and it was agreed to hold it on Saturday, June 19th at the home of Sharon & Marvin Zuber, which is located south of Port Orford, near the Dinosaur Park. He said he would hold mass there at 3:30pm and dinner could follow; There would be no services held on Sunday, the 19th at St Johns.
Other Business:
Community Garden: Rolando said the organizers of the new garden, that is being set up in Buffington Park, have asked to use the church for a meeting on Tuesday, May 5th at 5pm to alot the plots.
Next PAC meeting: Father suggested that we wait until the new priest comes in July to hold the next meeting. He will let us know when he will be arriving as soon as he is informed, so it can be scheduled.

A wonderful potluck Mexican dinner, organized by Rosie Hajek, celebrating Cinco de Mayo, followed the meeting. During dinner, Rolando gave a brief history of Mexico.

Meeting Minutes of February 23, 2010
The meeting was held at 5:30pm at the church and was called to order by Chair, Phil Colozzi. A wonderful Italian dinner was provided by our Chief Church Chef, Stephanie, with the help of our other great cooks.

Minutes: The minutes of the December 22, 2009 meeting were accepted as presented (MSP: Marvin/Viv).
Reports:
1. Religious Education & Youth Outreach: Rick had no report. Rolando said RCIA classes will be offered next year.
2. Budget & Finance: Ken said we are $3500 in the black, from July to February, however we still need to pay the bill to Holy Trinity, so after that we should be about $2000 in the black.
3. Altar Society/Women’s Guild: Stephanie asked PAC to list Colleen on the agenda as Vice Chair. Carol said the group is doing well financially.
4. Liturgy: Rolando said we have money from the Friends of St. John’s for cleaning the church vestments. Viv suggested we need another ladies vestment and Colleen suggested it be a shorter one. Rolando reviewed the coming liturgies before Holy Week:
Wed. 3/3: Archbishop’s Amber Day - for fasting and abstaining.
Fri. 3/5: Stations of the Cross - St. Christopher’s will join us.
Fri. 3/12: Living Stations of the Cross- At Holy Trinity

Rolando also said we need to plan a minister’s workshop.
5. Publicity: There are two pictures of our recent Mardi Gras celebration in this week’s newspaper. Rolando suggested we do publicity about the Stations of the Cross, both the celebrations here and at St. Christopher’s. Publicity for Easter was discussed. Phil will get our wooden cross up to Holy Trinity for their Good Friday services.
6. Maintenance: Marvin said the church has some eves plugged up that need cleaning. He will organize a cleanup day for the outside of the church before Easter. Phil volunteered to get some guys out to help with the cleaning. Ken said the lights outside need updating.
7. Community Outreach: Sherry announced we may now write Salvation Army vouchers to Ray’s Market for people in need of emergency food and necessities. The vouchers can be up to $15 a day per person for up to 3 days or $45 and up to $75 for a family.

Father said Divine Mercy aids will be available soon and more information will be in the bulletin.
The location of the Baptismal Font and the Holy Water font was discussed.
Topics of Discussion:
Blood Drive: Mary & Rosie volunteered to oversee the church during the Red Cross Blood Drive to be held on 4/7.
Newspaper Advertising: It was moved that we give a check of $50 to the Port Orford News to go toward paying for some of our advertising they have not billed to us. (MSP:Father/Rick).
Outside Pole Lights: The newly passed Dark Sky Ordinance and our pole lights were discussed. Ken and Phil will look into it.
Float in the 4th of July Parade: Millie suggested the church enter a float into the parade this year. She will get a group together to organize it.
Hughes House Christmas Decorating: Millie suggested we decorate the kitchen instead of the bedroom for this coming Christmas.
Parish Council: Jay Straley, the outgoing chairman of the parish council, thanked the members of St. John’s for their support and discussed things happening with the council. He introduced Allison Hundley who will be the new chairperson of the council as of April. Allison said she hope to work closely with St. John’s.
Father’s Traveling Expenses: Money to help Father Andrew with his travel expenses to Portland for his upcoming surgery was discussed. It was moved that we pay 25% of his those traveling expenses
(MSP: Marvin/Carol).
Library: We will be getting a new bookcase soon, so we can continue having a church lending library.
PAC Chairman: Glen Thurow will be taking over the chair of PAC as of our next meeting. If for any reason he is unable to continue, such as health problems, our new Vice Chair, Marvin Zuber, has agreed to take over the chairmanship.
Next PAC meeting will be held on Thursday, April 15th at 5:30pm at the church. There will be 4pm to 5pm Adoration, 5pm Mass and 5:30pm dinner and PAC meeting. Sharon will give the closing prayer and Stephanie will organize a potluck dinner.

Meeting Minutes of December 22, 2009
The meeting was held at 6:00 pm at the church and was called to order by Chair, Phil Colozzi. The wonderful cooks of our church provided a delicious Christmas turkey dinner with all the trimmings….yum!

Reports:
1. Religious Education & Youth Outreach: Rick said he will meet with Jutta & Andrew after the holidays to plan the RCIA class.
2. Budget & Finance: Ken said in November we were $138 in the black and so far in December we were $177 in the black. For the period of July through December we are in the black by $1304 and he feels we are doing well.
3. Altar Society/Women’s Guild: Stephanie said, “We’re fine!”.
4. Publicity: Matt put the article Sherry sent in about our holiday schedule on the front page in the top position in this week’s Port Orford News.
5. Liturgy: Rolando reviewed the coming liturgies.
6. Maintenance: Ken thanked everyone who spent Sunday after mass cleaning up after the flood in the ladies’ bathroom. Phil was thanked for straightening out the storage room. Phil said we will have a general cleaning of the outside of the church sometime before Easter.
7. Community Outreach: Sherry said the annual Salvation Army bell ringing fundraiser is going well and has raised $1864 so far and she expects that we will surpass last year’s record collection before the end of this week. She mentioned that we are now supposed to give both the top and bottom of white copy of the Salvation Army vouchers to the vendor. Sherry said she is planning to approach Rays Market to see if they will accept Salvation Army vouchers for food and if so, she hopes we can work with Common Good to identify people in our community that may need more groceries than they can supply during an emergency situation.

Father thanked each and every one of us for our dedication to the parish.

Phil thanked Stephanie for supplying the wonderful food for the church activities.
Rick thanked Todd for helping with the outside Christmas lighting this year.
Millie said she and Mary will be dressing as elves when they ring the bell for the Salvation Army at Rays tomorrow.
Father announced that the new church calendars are here and thanked Amling Schroeder Funeral Service for providing them free to the parish.
Rosie suggested that the person in charge of bringing Sunday treats also be in charge of the kitchen that day so we can give Stephanie and Nan a break from some of the weekly work.
Father discussed a family in the parish that was in need and various suggestions were made by the group of ways to help.
Next PAC meeting will be held on Tuesday, February 23rd at 6pm. There will be a 4:30pm Adoration, 5:30pm Mass and 6pm dinner and PAC meeting. Stephanie will give the closing prayer and we will have a potluck dinner. At the end of that meeting, Phil will turn the chairmanship of PAC over to Glen Thurow for the coming year.

Meeting Minutes of Oct. 27, 2009
The meeting was held at 6:00 pm at the church and was called to order by Vice-Chair, Glen Thurow, as Chair Phil Colozzi was absent due to illness. The gourmet cooks of our church provided a delicious Italian themed dinner.

Minutes: The minutes of the September 8th, 2009 meeting were accepted as presented (MSP: Stephanie/Carol)
Reports:
1. Religious Education & Youth Outreach: Father mentioned that Rick would organize RCIA classes for anyone wishing to join the church. He also said we should look into having Catechesis classes for the children and possibly get Children’s Magnificat booklets for them as well.
2. Budget & Finance: Carol Hart presented a check from the balance in the Women’s Guild Carpet Fund, in the amount of $333, to the church. Ken said with the addition of this check we would be in the black for the month of October by $246. For the period of July through October we are in the red for only $354. Ken said that financially we are sitting “pretty cool”.
3. Altar Society/Women’s Guild: Carol said they have had many expenses lately related to hosting funeral services and special occasions held at the church. Stephanie said we are lucky we are doing as well as we are. Rolando said the church vestments need to be cleaned, which would cost about $400-$500, and that perhaps the Friends of St. John’s would consider making a contribution to cover it. It was moved to apply to them for the funds to cover cleaning the vestments (MSP: Rick/Sherry). Rolando said he would submit the application.
4. Publicity: Viv mentioned there was an article in the paper about Rick’s Ordination to Deacon, even though she hadn’t submitted it. She asked Sherry to take photographs of the Ordination and the first Mass he delivers. Sherry said the new Phone Directories are almost ready for printing, and as soon as she has photos of the Ordination, she will start printing them.
5. Liturgy: Rolando gave a report on the coming events on the Liturgical calendar. We only have 2 copies of the new lector’s workbook and the readers can take them home to study from before they read. Father said he might order more if he could find them for less cost. Rolando mentioned having a workshop after the first of the year for people taking part in the liturgy. Fr. Stan has invited Rick to speak to the members at St. Christopher’s Episcopal Church on Nov. 12th at 6pm about the vocation to the deaconate. There will be a potluck dinner following. Father Andrew will be going and we are all invited to attend. They would like to know how many are planning to be there.
6. Maintenance: Ken said that all the painting and carpeting has been completed. He said there is some electrical work on the outside lights that needs to be done.
7. Community Outreach: Sherry said that the gas vouchers for the Chevron Station are not available at this time, since the station has been sold, but she will keep in touch with the new owner, hoping that eventually he will be in a financial position to accept them. She announced that we now can issue Salvation Army vouchers for fare on Curry Public Transit buses. She also mentioned that we could use another person to take a turn answering the church cell phone. Dusty suggested that she make the request for a volunteer to everyone in the congregation after Mass on a Sunday.
Pastor’s Report:
PAC Vice Chair: Father thanked Glen Thurow for taking the chairmanship of the meeting today and announced that next year, when Glen becomes Chair, Marvin Zuber will be the new Vice Chair.
Upcoming Dates:
Feast of the Immaculate Conception: Will be celebrated on Monday, Dec. 7th at 5:30pm at St. Johns and on Dec. 8th at 5:30pm at Holy Trinity.
Dec. 22nd – There will be a lunch at noon on Tuesday at St. John’s followed by a work party to decorate the church for Christmas. From 3pm to 5:30pm will be adoration and confessions and at 5:30pm a Mass will be held, followed by dinner and a PAC meeting at 6pm.
Christmas Eve: A Children’s Mass will be held at 4:30pm on Dec. 24th at Holy Trinity and a Candlelight Service will be held at 9pm, also at Holy Trinity.
Christmas Day: The mass at St. John’s will be at 8am on Dec. 25th followed by a brunch and at Holy Trinity at 11am, followed by a brunch.
Mary Mother of God: Will be celebrated on December 31st, with Mass at St. John’s at 4pm.
Epiphany: Will be celebrated on Sunday, Jan. 3rd at Carol Hart’s home, with Mass there at 12:30pm. and will be followed by St. John’s annual Christmas/New Year’s Party.
Father’s Vacation: Father said he would be on vacation, combined with several meetings, from Nov. 16th to Dec. 5th. He said that any special services would have to be held after he returns.
Church Renovations: Everyone gave Father Andrew a round of applause for his leadership in the recently completed and “classy” renovations to the church gathering area: new carpeting, baseboards and a creative paint job.
Topics of Discussion:
Hughes House Christmas Decorating: Rolando suggested that our new parish member, Millie Hass, might be willing to lead the decorating of our designated room at the Hughes House this year. He will speak to her about this.

Meeting Minutes of Sept. 8, 2009
The meeting was held at 6:00 pm at the church and was called to order at 6:18pm by Chair, Phil Colozzi, following a scrumptious potluck dinner.
Present were: Phil Colozzi, Chair; Glen Thurow, Vice Chair; Sherry Johnson, Secretary; Father Andrew Thomas, Pastor; Ken & Stephanie Brewer, Dusty & Helene Harrington-Collins ,Carol Hart, Rolando Rodriguez, Marvin & Sharon Zuber, Mary Colozzi, Colleen Gryzwana, Carol & Lew Dunn, Viv & Rick Williams & new church member, Millie Hass, who had decorated the dining tables for the occasion.
Minutes: The minutes of the June 2nd, 2009 meeting were accepted as presented (MSP: Carol/Rolando).
Reports:
1. Religious Education: There was no report.
2. Budget & Finance: Ken said we are $410 in the black for July & August (see report). We had greater revenue this year than last year, but have had maintenance and improvement expenses. These were mostly in the rear of the building, such as the new parking areas.
3. Altar Society/Women’s Guild: Stephanie reported that the Altar Society and the Women’s Guild are now merged. There is approximately $120 in the Altar Society’s available funds. Colleen said we need another Eucharistic cloth for the Altar. Father Andrew asked Rick to order 2 of them.
4. Publicity: Sherry said it had been a year since our last Church Phone Directory was distributed and that we are currently out of them. She said she would start gathering new information this Sunday at Mass in order to update the listings. Father said it might be a good idea to go ahead and print a new edition of the book to be distributed this fall, assuming there are enough changes.
5. Liturgy: Rolando gave a report on the coming events on the Liturgical calendar.
6. Maintenance: Marvin said we were OK on maintenance outside. Ken said we will be painting the gathering area before the carpet is installed (see Pastor’s Report below).
7. Community Outreach: A discussion was held about some of the problems that have been encountered over the past few months with people wanting assistance from the church. It was agreed that we must use caution when assisting needy people by meeting them in public places to give out vouchers and by not giving out cash. Father Andrew said he doesn’t want the church giving out lodging vouchers because of the possible legal and moral liabilities that might result from destruction of property at the lodges. Rolando pointed out that Al is selling the Chevron Station at the end of this month and it is doubtful if the new owners would continue to accept gas vouchers from the Salvation Army. Father suggested we could help provide transportation by buying more bus passes for Gary Culley to distribute at KarKare Auto Parts, if he needs help financially in purchasing them…Phil said he would check with Gary. It was agreed to revise the sign in the front window of the church to say that a representative of the church could be reached by calling our cell phone number only during regular daytime business hours. Sherry agreed to revise the sign.
Pastor’s Report:
Financially we are doing well in both churches.
Carpet & Painting: Father would like to get a crew together at 9am on Friday & Saturday, Sept. 18th & 19th. Saturday we will paint the walls. Father showed samples of the carpeting and told about the paint colors selected. With the second collection that was held, we now have all the funds needed for these projects, with maybe a little left over.
Stephanie Brewer was honored by Father for all the work she does for the church. He presented her a small token of appreciation from the church and himself, a gift certificate to Benetti’s Restaurant.
Archdiocese policy was discussed as it related to meetings of church councils, such as the PAC. Father said the Pastor must be present at all such meetings. From now on, the Budget Report will be presented as a balance sheet, without a detailed profit and loss statement, as before.
Communion Service: The Mass on the last week of this month will be on Tuesday, Sept. 29th, not on Wednesday.
Rick Williams’ Ordination as Deacon will be held in Portland on Saturday, October 31st. Father said he will give a communion service in Portland on that day for all those who will be attending from St. Johns and also a communion service will be offered at the church in Port Orford on Sunday, Nov. 1st.
Next PAC meeting will be held on Tuesday, October 27th at 6pm and the following one on Tuesday, December 22nd with decorating of the church for Christmas at noon, Adoration at 4:30pm, Confessions and then Mass at 5:30pm with dinner and the PAC meeting at 6pm. Millie Hass volunteered help in supplying Christmas decorations for the church.
Suggested things to think about for future meetings:
Hand Rails or Emergency Cords installed in the bathrooms in case someone falls and can’t get up.
New Sink: The men’s bathroom needs a new sink.
Cursillo: Phil will talk to Father Carl at the North Bend church about offering a Cursillo. Anyone who is interested in attending should let Phil know.
Outside Lighting: Phil said the city is going to enact a “dark sky” ordinance where all lights must shine down. Phil will look into it and let us know what changes will be necessary in the church lighting.
Mardi Gras Party: Viv announced that the next Mardi Gras Party at St. Johns will be held on Friday, February 12th, 2010.

Meeting Minutes of June 2, 2009
The meeting was held at 6:00 pm at the church and was called to order at 6:20pm by Chair, Phil Colozzi, following a fantastic Mexican potluck dinner.
Present were: Phil Colozzi, Chair; Glen Thurow, Vice Chair; Sherry Johnson, Secretary; Father Andrew Thomas, Pastor; Ken & Stephanie Brewer, Dusty Harrington-Collins ,Carol Hart, Rolando Rodriguez, Marvin & Sharon Zuber, Mary Colozzi, Priscilla Lang, Nan Britton, Colleen Gryzwana and Sarah Thurow.
The opening prayer and grace was given by Father Andrew.
Minutes: The minutes of the March 31st, 2009 meeting were accepted as presented (MSP: Mary/Rolando).
Reports:
1. Religious Education: Rick and Helene were not present, so there was no report.
2. Budget & Finance: Ken said we are in the black for the period from July 2008 through May 2009. Our income has exceeded our expenses by $10,287.63.
Ken said there is one more component coming that will enhance our sound system.
Our second collection taken on Sunday for CFCA (Christian Foundation for Children & Aging) for the two children we are supporting, was in the amount of $582, only $18 short of our goal and there is one more donation expected.
3. Altar Society/Women’s Guild: Stephanie reported they are both doing well and are talking about combining bank accounts, sometime in the future.
The ladies will organize a Father’s Day Brunch on June 21st following Mass.
4. Publicity: Sherry said the Holy Week and Easter publicity went well.
5. Liturgy: Rolando said on June 24th we will celebrate St. John’s the Baptist’s birthday and on August 29, his martyrdom.
6. Maintenance: Marvin said he will get the lawn mowed this week. Phil volunteered to help him.
Ken will work on getting glass globes for the lights in front of the church.
A new outdoor sign for the church, which will face south, was discussed. Father would like to see it done and Phil agreed to put a committee together to study the cost.
7. Community Outreach: Sherry reported that she updated the Emergency Public Assistance handouts in May and distributed them around the community.
The Common Good Food Pantry thanked us for the food and checks we gave them for their fundraiser in May. We should continue to bring in our Ray’s receipts and put them in the Common Good box.
Sherry explained that we now can give out Salvation Army vouchers for meals at the Port & Starboard Restaurant for those in need.
She said the calls on our church cell phone have been coming in regularly asking assistance for locals as well as transients.
Since our second collection for CFCA was such a success….we will have enough money to cover CFCA’s $50 automatic monthly withdrawal from our bank account for another year
Pastor’s Report:
Father said a fellow would like to talk to our church about sponsoring a child from the Honduras mission that Holy Trinity supports. He will be here to speak to us at Mass on Sunday.
The potluck celebrations held occasionally after Sunday Mass were discussed. Father said on those days he will hold Mass at St. John’s at 8am and at 11am at Holy Trinity so he will have time to attend our potlucks
The old heavy tables in the meeting area have all been sold and the new tables will arrive soon.
The wooden cross, handmade by Phil, will be brought back to St. John’s and be placed on a wall in the meeting area.
Father said the partaking of the wine will be optional during Sunday Mass because of heath reasons and
he asked anyone who is sick to refrain.
A new carpet for our meeting area was discussed and it was moved that we move $3000 from the church general fund to the Women’s Guild Carpet Fund which will be added to the $1500 already there (MSP: Marvin/Carol). Money raised by the Women’s Guild rummage sale, this fall, will be added to the fund. Father estimates the cost of the new carpet should be between $4500 and $5000. Carol Hart said the area has already been measured by the Hennick’s and that she has all the figures. Father will get a committee together to oversee the carpet project.
Old Business:
1. Red Cross Blood Drive: Dusty said he needs a volunteer from St. John’s to be in the church during the blood drives that will be held on August 5, October 7th and December 9th. Stephanie said she will help. It was suggested that we have a sign-up sheet and have Father make an announcement at Mass.
2. Handicapped Parking Space: Phil said he will get the new handicapped space, suggested for the back of the church, delineated within the next couple weeks.
New Business:
1. Parish Picnic: Sharon and Marvin Zuber volunteered to have a parish picnic at their home. It was decided to hold it on Sunday, August 2nd. The party will start at 1pm and we will eat around 3-4pm (to be announced later).
The Zubers will provide the meat dish and everyone else is asked to bring a potluck dish.
2. Rummage Sale: Priscilla will organize a church rummage sale to be held on Saturday, August 29th.
Next PAC Meeting: Will be held on Tuesday, September 1st at 6pm at the church. Father said we will hold Adoration from 4:30 to 5:30pm. Mass at 5:30pm with dinner and the PAC Meeting following around 6pm. Stephanie will organize the potluck meal and Mary Colozzi will do the closing prayer. There will not be a Mass held at St. John’s on the following Wednesday morning.

Reports:
1. Chair: Phil gave a report on Rick Williams, who is having a remarkable recovery from his stroke.
2. Religious Education: Father said that Helene and Dusty took the 2 day training of the Call to Protect and are now certified to train others in the church who may need this training in the future.
3. Budget & Finance: Ken said we are in the black and ahead of last year in our collections. We had an income of $31,491 and Expenses of $25,906.
4. Altar Society: Stephanie reported we are doing OK with Altar Society funding.
5. Publicity: Sherry said that she will handle the Holy Week & Easter publicity.
6. Liturgy: Rolando mentioned that we have received an invitation from St. Christopher’s to join them after Easter Mass for a brunch.
He and Father Andrew reviewed the schedule and plans for Holy Week and Easter.
7. Maintenance: Ken said he thinks he knows what the problem has been with the sound system and we have new components coming.
Marvin said there will be a work party on Monday, April 6th to clean windows, carpet, do yard work, etc. and on Sunday afternoon, April 5th, several volunteers will come back to church around 2pm and move everything that must be moved in order to clean the carpet
8. Community Outreach: Sherry reported that Mary Colozzi has had the church cell phone for the past 3 months and has given out 4 Salvation Army lodging vouchers and 4 gasoline vouchers. Sherry will be answering the cell phone for the next 3 months.
Sherry said the Food Pantry for Langlois and the Common Good food pantry are doing a food drive to be turned in by May 2nd. Carol said she will make an announcement in the bulletin to bring in food and Sherry will announce it at Mass. Father suggested that from the second collection on Easter Sunday which is collected for the needy in our area, 25% go to the food drive - being divided 15% to Port Orford and 10% to Langlois.
Pastor’s Report:
Father discussed how we should be organizing the 1st and 2nd collections at Mass on Sundays - one following the other.
The liturgy for Holy Thursday and Good Friday were discussed and Father suggested a practice be held beforehand.
Father will be leaving for a retreat on the Wednesday following Easter – so instead of the regular Wednesday morning Mass, he will hold a Mass on Tuesday, April 14th at 9am.
Old Business:
1. Red Cross: Phil said he will be taking care of the paperwork for St. John’s to become a shelter for the Red Cross in emergencies.
New Business: There was no new business reported.
Next PAC Meeting: Will be Tuesday, June 2nd at 6pm at the church. Father said we will have Mass at 5:30pm that evening with dinner and the PAC Meeting following and therefore there will not be a Mass held on the following Wednesday morning. Closing Prayer: Marvin; Meal: Potluck

Old Business:
1. Red Cross Blood Drive: Mary Colozzi said the Red Cross would like to use St. John’s for an emergency shelter in case of a disaster. The liability would be covered by the Red Cross and they would provide all the supplies that might be needed. It was moved that we sign up to be a Red Cross Emergency Shelter (MSP: Helene/Marvin).
2. Rosary Schedule: are Sundays at 8am and Wednesdays at 8:30am.
3. Men’s Prayer Group: will be every other Tuesday at 10am and 4pm. They will gather next on Feb. 24th.
4. Child Protection Training: The second part of the training will be held on Feb 15th around 11am at Holy Trinity. Father agreed to hold the same training at St. John’s at a future date, to be announced later.
5. Vicariate Meeting – Dusty will attend the meeting on 2/18 which will be held at Holy Trinity.
6. Pamphlets & Brochures – Father will order these for both churches. They are the ones found in the free pamphlet bookshelf in the gathering area.
Reports:
1. Religious Education & Youth Outreach: Training for religious education was discussed. Father will call the Archdiocese to get things moving.
2 Budget & Finance: Father said that we are in the black at St. John’s.
3. Maintenance: Ken said he had no maintenance issues to discuss.
4. Altar Society: Stephanie reported giving out 7 food vouchers for Ray’s for the month of January.
5. Publicity: Viv mentioned that the bill of $135 for advertising every week in the Church Directory section of the Port Orford News will be due in March.
6. Liturgy: Rolando said Ash Wednesday is on Feb. 25th and the Soup & Stations Friday Night Dinners will start on Feb. 27th and will continue through the Friday nights of Lent at 6pm. Father said he will only be attending on Feb 27th, so maybe that would be a good time to invite St. Christopher’s to join us. A discussion followed about decorating the church for Lent and Easter. Mary Jane volunteered to make unleavened bread for both churches in the parish.
7. Community Outreach: Sherry reported that she was invited to attend the church council meeting at the Port Orford Christian Center to speak about our Outreach Programs, after which they made a $50 donation toward our Food Voucher program. She said the Salvation Army Extension Director stopped in Port Orford today and they are very pleased with our representation in the area. Father asked us to check ID’s for those we help.
8. Membership: Phil and Sherry have completed the updated list of church members of St. John’s for the Archdiocese.
Pastor’s Report: Father Andrew reported:
Archbishop’s Catholic Appeal: A second collection for this will be held on Sunday..
Copy Machine: Father said he will move the old copy machine from Holy Trinity to St. John’s. Phil offered to help with the move.
Charity Group: A group, Global Agents for Change, is looking for a place to stay when they come through this area on bicycles. It was suggested they check the local campgrounds.
Lenten Penance Service: Father, with input from the group, decided to hold this on Tuesday, March 31st. Confessions will be heard from 3:30pm until 5pm, followed by Mass at 5pm and a dinner around 5:30pm and then our next PAC meeting at 6pm.
New Business:
1. Handicapped Parking Spaces: Phil said there is a need for more handicapped parking spaces. Father suggested that two new handicapped spaces be created in the back parking lot from the 3 spaces in front of the door.
2. Transfer of Chairmanship of PAC: Dusty transferred the gavel and the position of chair of PAC over to Phil Colozzi for the coming year.

Minutes: The minutes of the Oct 16th meeting were accepted as presented, with the change pointed out by Father Andrew that the Jan 1st Mass time is now planned for 9am instead of 8:30am (MSP: Rolando/Priscilla).
Old Business:
1. Red Cross Blood Drive: Dusty reported that all went well with the drive held here yesterday. The next blood drives will be held at St. John’s on 2/4/09, 4/8/09 and 6/3/09 and volunteers are needed to watch over the church during the day of the drive.
2. Protection Training: Rick said that the classes will hopefully be held here sometime between January and March and will not cost the parish anything.
3. Annual Church Cleaning: will be held in the Spring.
4. Christmas Decorating: will be held after Mass on Dec. 17th and Stephanie will coordinate a brunch.
Reports:
1. Religious Education & Youth Outreach: No report.
2 Budget & Finance:
Ken handed out a financial report for July through November which showed we were in the black $763 for this period.
In December we may go $2000 in the red partly because the cost of the sound system was higher than expected. Jonell suggested we might consider writing for a grant. Sherry suggested we go back to the original local donors of the system and ask for the money to cover the additional cost of the sound system of approximately $800
Ken thanked Phil for his input with Quick Books to help prepare our financial reports.
Ken suggested we renew 2 CD’s of approximately $3000 for 2 more years (MSP:Phil/Glen).
The archdiocese needs updating on our list of parishioners. Phil will coordinate this with Fr. Andrew after Father receives input back from the Christmas letter he will be sending out.
3. Nominating Committee: It was moved that the position of the next Vice Chair of PAC be offered to Glen Thurow (MSP: Phil/Fr.Andrew). Phil will be moving up to the position of Chairperson of PAC at the April meeting and Sherry agreed to stay on another year as Secretary.
4. Altar Society: Stephanie said the Altar Society had about $250 in the bank and are doing fine.
5. Publicity: Sherry said she and Viv have put articles into the local papers lately…about Salvation
Army bell ringing, caroling and a list of all our upcoming activities and services.
6. Liturgy: Rolando said the Christmas decorating of our room in the Hughes House went well. The choir has been rehearsing on Saturdays at 11am.
7. Community Outreach: Sherry reported that the Salvation Army bell ringing which started on Saturday is going well. St. John’s parishioners raised over $400 and there are 3 more churches signed up to participate in this annual fundraiser that we coordinate. The feedback for both the bell ringing and the Christmas caroling has been very positive and many people from other churches joined us in caroling after reading about it in the paper. It was suggested that we continue to start the Salvation Army bell ringing fundraiser and plan our annual caroling party on the first Saturday of December to coordinate with the Christmas Bazaar in town, which the caroling group serenaded after singing at Ray’s.
8. Membership: Phil and Sherry have been updating the membership list
Pastor’s Report: Father Andrew reported:
Audit is finished for the parish and there are 12 recommendations to consider for St. John’s. He said the bank statements for the Altar Society and the Women’s Guild need to be sent to him and he needs to be a signer on both of them.
Advent books are here for everyone at St. John’s.
Call to Protect: the people in the church, who this applies to, need to be updated by June.
Copy Machine: The parish office at Holy Trinity got a new printer that can handle paper sizes up to
11 x 17 inches. The old copy machine will be given to St. John’s.
Bulletins: Father is soliciting local businesses to pay for advertising in the church bulletins to help with the costs. The bulletins will be larger and some will have color.
Administrative Help: He is asking the archdiocese to pay for hiring someone part-time to help with administrative duties of the parish, such as the bulletin.
Appreciation: Father thanked everyone for volunteering and for making his first pastorate job go so well.
New Business:
1. Prayer Tree: Rick thanked the members of the church for all their prayers and for sending flowers to Viv who is doing well after her knee surgery this week. Rolando said that Jean Corazza also thanked us for our prayers, in her behalf.
2. Disaster Relief: Mary said we need someone to work with the Red Cross to establish shelters in Port Orford in case they are needed for disasters. Father said we should check with the archdiocese regarding their policy on this and bring it back to PAC.
3. Vicariate Meeting: The next vicariate meeting will be on Feb. 18th in Coos Bay. Phil and Mary volunteered to attend.

2. Protection Training: Father said the times for training and updating will be announced later.
3. Parking Signs: The sign in the front parking lot for Father’s spot completed by Rick.
4. Sound System: Ken said it should be installed by next Wednesday.
5. St. John’s Sign: Rick said he is working on the new sign that will face south.
6. Red Cross: Dusty said the Red Cross had cancelled the scheduled blood drive in October at our church without notifying us first. Father suggested we give them one more chance at using our facilities.
Reports:
1. Religious Education & Youth Outreach: Rick said Helene is trying to set up a training session for the middle of November.
2 Budget & Finance: Ken handed out a financial report for July through September which showed we were in the black $876. 56 for this period. Father said he was pleased with the report and that we need to average around $2700 in collections per month to stay up with expenses. Father will bring our parish up to date with a finance talk in January.
3 Maintenance: Ken said the outdoor front lights have been repaired and the back lights are waiting on Rick. Rick said he is getting bids to bring power to the outdoor front of the church for Christmas decorations and to light the new church sign.
3. Altar Society: Stephanie said they are doing well and have over $300 in the bank from contributions during coffee hour.
4. Publicity: Viv suggested we get a photo on Nov. 2nd of Rick to send to the paper announcing his call to deaconate candidacy. Sherry will take the photo.
5. Liturgy: Rolando went to the Vicariate meeting in Coquille on Oct. 15th. The next ones will be: Dec. 10th at Holy Trinity, Feb. 18th at St. Monica’s in Coos Bay and May 6th at St. Charles in Gold Beach. Rolando reviewed the upcoming liturgies.
6. Outreach: Sherry said we have received the new bus passes that will be good through March 2009 and she will give half to Gary Culley to distribute, as in the past. This may be the last of the bus passes unless the transit system receives another grant to continue the program. The Salvation Army Bell Ringing was discussed and it was agreed that we continue to organize this event in town and other churches and organizations will be asked to participate again. Saturday, Dec. 6th, will be our scheduled day in front of Ray’s Market
7. Membership: Phil and Sherry will get our updated mailing list and labels ready for Father’s Christmas letter.
Pastor’s Report:
Father Andrew said that Holy Trinity will pay for Rick’s deaconate stoles.
Father will send out a Christmas letter for Holy Trinity and St. John’s.

Old Business:
1. Hughes House Mass: The Assumption Mass was not held at the Hughes House this year but at the church on August 14th.
2. Membership: Phil Colozzi was not present but Dusty said Phil had put an article in our local paper welcoming new and old Catholics back to the church. (9/5 Correction: Viv put the article in the paper)
3. Prayer Chain: Mary is putting together a new prayer chain based on the returned questionnaires and it will be completed soon. Mary’s name will be at the top as the first person to call to start a prayer chain.
4. Masonic Sign: is on hold. They did not agree to our requested changes for the sign.
5. St. John’s Sign: a new sign for St. John’s, visible from the south, is being worked on by Ken and Rick.
6. Sound System: Ken said he is still working on finding a good one.
Reports:
1. Religious Education & Youth Outreach: Rick said the Catechist program has been postponed until after Oct. 15th because we have to obtain the required background checks for all people working with youth.
2 Budget & Finance:
Ken handed out the financial statement showing that we were finally in the black by $751.38 for the two months of July and August of this year.
Later in the meeting, Father Andrew corrected the amount that St.John’s was in deficit for the past fiscal year…it was $8853 not $7353 as reported in the financial statement handed out at the July 31st meeting due to charges that came in later.
3. Altar Society/Women’s Guild: Stephanie reported that we gave out 7 food vouchers for Rays in July and that the Altar Society has about $250 left in funds.
4. Liturgy: Rolando gave a brief report. (Father Andrew had given a training session preceding the PAC meeting to all those involved in the church liturgy and Rolando also handed out a booklet he had prepared about the liturgy).
5. Publicity: Viv said there were articles about the two special masses in the paper. Sherry presented an invoice of $124 to the Budget chairman for the 50 directories she just printed and distributed at church last Sunday. Sherry mentioned that there was an article in both papers with a nice recognition of the contributions of cookies made by the Women’s Guild for the After School Program held in the spring.
6. Maintenance: Dusty thanked Phil and Mary Colozzi for all the work they have done in fixing up the parking areas of the church. The outdoor lights that need repairing will be done by Rick and Ken. Colleen mentioned that the carpet in the church needed cleaning and it was suggested that it be done with the help of parishioners.
7. Community Outreach: Sherry reported that the Chevron Station in Port Orford is now accepting our distribution of Salvation Army vouchers for gasoline. Also she said that the last person she sent to Shore Line Motel with a voucher was accepted by the manager. It will be up to them, in the future, if they will accept a person we send there with a Salvation Army voucher for a night’s lodging. Sherry mentioned that she had written a letter to Ray’s corporate office asking them to consider doing a local fundraiser for the Common Good.
8. Membership: Dusty said that Phil had made phone calls trying to reach people on our lists that do not attend church on a regular basis and inviting them to attend. (9/5 Correction: No calls have been made yet - Phil researching who to contact).
9. Pastor’s Report:
Father Andrew said that the St. John’s deficit was actually slightly larger than reported at the last meeting due to charges that came in later. (See above Budget & Finance report).
He said he will hold a Protection Training on Monday, Sept 8th at 9am for all those people in the church who will be working with youth. At that time he will hand out applications for background checks. He said that the Catholic Church is leading other churches in this area now.
On Thursday, Dec. 11th from 3-4:30pm, Father will be here for Advent Reconciliation. At 5pm he will hold a Healing Mass and at 6pm there will be a PAC meeting.
All Saint’s Day Mass was discussed and Father said it will be arranged and announced later.
Viv mentioned that St. John’s would like to have Father join us in Christmas caroling this year – it will be decided later.
New Business:
1. Holy Trinity PAC Meetings: Father has requested that someone from St. John’s attend on a quarterly basis. The next meeting will be Dec. 9th and Rick and Viv have volunteered to go
2. Bulletin Entries: Should be e-mailed to Carol Hart by the Tuesday before the bulletin printing.
Sherry said to contact her if you would like something put on the parish website, beyond what is in the bulletin.
3. Book and Brochures: The cost of these for St. John’s will be billed to us through Holy Trinity. Father said he will bring the Advent books to us.
4. Red Cross: Father said that he had been approached about using St. John’s for their 6-9pm evening board meetings. Someone from St. John’s would need to be here to open and close the church. Sherry mentioned that the new Port Orford Library has a small meeting room available for organizations for no charge and meetings can be held after library hours. Rick will convey this information to the Red Cross.
5. Phone Directory: Jim Struck asked if there was a better way to keep it updated. Father Andrew said he will send a letter before Christmas to all those listed inviting them to church services and also to call him to update our information. It was suggested that we add a section in the next directory to remember people in prayer who have died in the past year.

October 16th at 6pm and it will be potluck with Rick giving the closing prayer.
December 11th at 6pm (See Pastor’s Report above).
